01Information we collect
When you contact us. The contact form collects your name, email address, company, phone number, the service you are interested in, and your message. If you email us directly we hold whatever you send.
When you apply for a role. The careers form collects your name, email address, phone number, the role you are interested in, any links you share, and the CV file you upload. Applications and CVs are stored in our access-controlled recruitment systems.
When you ask for a demonstration. See WhatsApp demonstrations below.
Automatically. When you visit this website we may collect basic usage information (such as pages visited, device and browser type, and approximate location) through cookies and similar technologies, to understand how the site is used and to keep it secure.
02How we use it
- To respond to your enquiries and requests
- To consider your application, if you applied for a role
- To run and follow up on a demonstration you asked for
- To provide, maintain, and improve our website and services
- For the security and legitimate operation of our business
03WhatsApp demonstrations
We operate a WhatsApp Business number for one purpose: to demonstrate sample projects to prospective clients who have asked to see one. It is not a marketing channel and not a support line. We collect your name as it appears on WhatsApp, your phone number, and the messages exchanged during the demonstration.
- We message you only after you have asked for a demonstration, or messaged us first.
- Demonstrations use sample data. Please do not send real personal, medical, financial or confidential information into a demo.
- Reply STOP at any time and we will stop messaging you, immediately and permanently.
- We keep the conversation only while it is useful to you, then delete it.
Messages travel over the WhatsApp Business Platform, operated by Meta, so your use of WhatsApp is also subject to WhatsApp’s Privacy Policy.
04Legal basis
We process your personal data on the basis of your consent and our legitimate interest in operating this website and responding to you. You may withdraw your consent at any time by contacting us.
07Products we build for clients
For applications we build and operate on behalf of a client, Fordawn acts as a data processor and processes personal data only on that client’s instructions. Those products carry their own privacy notices, published by the client as the data fiduciary, and reachable from the product itself. One example is the MediFlow patient privacy notice.
08Data retention
We keep personal data only for as long as necessary for the purposes described above, or as required by law, after which we delete or anonymize it. Unsuccessful job applications and the CVs attached to them are deleted once the role is closed, unless you have asked us to keep yours on file.
09Deleting your data
You can ask us to delete everything we hold about you, at any time, without giving a reason. There is no form to fill in:
- Email info@fordawn.io with the subject “Data deletion request”, or
- Reply DELETE to any WhatsApp message from our business number.
Tell us the email address or phone number you used so we can find the right records. We confirm within 30 days and delete everything, including any CV you uploaded, except anything we are legally required to retain, which we will name explicitly if it applies.
10Your rights
Under India’s Digital Personal Data Protection Act, 2023 (the “DPDP Act”) you have the right to:
- access a summary of the personal data we hold about you;
- request its correction, completion, updating, or erasure;
- withdraw your consent at any time, for any processing that relies on it. Withdrawal is not retroactive and does not affect processing already carried out;
- nominate another person to exercise your rights on your behalf; and
- a grievance redressal mechanism.
To exercise any of these rights, contact us using the details below.
11Grievance Officer
If you are unhappy with how we have handled your information, raise it with our Grievance Officer. We answer every complaint, and we will tell you what we did about it.
- Grievance Officer - Rahul Ram, Fordawn Innovations Private Limited, Salem, Tamil Nadu, India.
- Email rahul.ram@fordawn.io
If we have not resolved it to your satisfaction, you may complain to the Data Protection Board of India, which hears complaints under the Digital Personal Data Protection Act, 2023. You do not need our permission to do so, and we will not treat a complaint as a reason to stop dealing with you.
12Children
Our services are not directed at children, and under the Digital Personal Data Protection Act, 2023 that means anyone under 18. We do not knowingly collect information from a child, and we do not track, profile or advertise to one. If you believe a child has sent us information, tell us and we will delete it.
13If something goes wrong
If information about you is exposed by a security incident, we will tell you what happened, what was exposed, what we have done about it, and what you can do - in plain language, and without waiting to be asked. We will also report it to the Data Protection Board of India as the law requires. We would rather tell you about a small incident than have you learn about a large one from somebody else.
14Security
We apply reasonable technical and organizational safeguards to protect personal data against unauthorized access, loss, or misuse. Access is limited to the people at Fordawn who need it.
