OPD queue management software is any system a clinic uses to call outpatient department (OPD) patients in order: a paper token, a display board at reception, or a queue linked to WhatsApp booking. The right choice depends on how many patients you see a day and how they book an appointment.
In short
- OPD queue management software ranges from a paper token book to a WhatsApp-linked queue tied to booking.
- A paper token system suits a single doctor with low daily footfall and no front-desk computer.
- A display board adds visible calling for a multi-doctor clinic, but it needs its own hardware at reception.
- A WhatsApp-linked queue carries the booking into the queue automatically, if patients already book on WhatsApp.
Why this matters
A queue that patients cannot follow leads to crowding near the doctor's room and repeated questions at the front desk. Staff spend time answering "how many before me" instead of registering the next patient.
The three options below solve this at different costs of setup and staff time. None is wrong for every clinic; each fits a different mix of patient count, booking method and front-desk staffing.
What is OPD queue management software?
It is the system that decides which patient is called next and shows that order to the waiting room. A clinic's front desk screen is usually where this order is set, whether on paper or on a computer.
The limit in every case is the same: the system only works if the front desk updates it the moment a patient arrives or leaves.
How does a paper token system work, and when is it enough?
A receptionist hands out a numbered slip on arrival and calls numbers aloud or writes them on a board. This is enough for a single doctor seeing a modest number of patients a day with one assistant at the desk.

The limit is that there is no record once the token is torn off, and a patient who steps out cannot check their turn from outside the room.
What does a display-board token system add?
It shows the current number being served on a screen above the waiting area, usually linked to a desktop at reception. This suits a multi-doctor clinic where patients wait across more than one doctor's room and need to see which room is free.

The limit is that the display only helps patients already seated in front of it; it does not reach someone waiting outside or at home.
How does a WhatsApp-linked OPD queue work?
A patient books an appointment on the hospital's own WhatsApp number, and that same booking becomes their token when they arrive and register at the front desk. This is built into the OPD queue and tokens module inside MediFlow, Fordawn's hospital management system.
Gift of Sight Eye Hospital in Tiruchirappalli has used booking on WhatsApp, registration and billing since 16 September 2026, with one patient record carrying through from booking to bill. The limit is that it depends on the clinic already taking bookings on WhatsApp; it does not replace walk-in registration for patients without a phone.
Which option suits your clinic?
| Option | Best for | Limitation |
|---|---|---|
| Paper token | Single doctor, low daily footfall, no desk computer | No record kept; patient cannot check turn remotely |
| Display board | Multi-doctor clinic with patients seated in one waiting hall | Needs dedicated hardware; does not reach patients outside the hall |
| WhatsApp-linked queue | Clinic or hospital already taking bookings on WhatsApp | Needs WhatsApp booking set up first; walk-ins still need a token at the desk |
What should you check before choosing a token system for clinic use?
Count your average daily OPD patients and how many doctors see them at the same time. A token system for clinic reception with one doctor rarely needs more than paper and a bell.
Check how patients currently book: phone call, walk-in, or a message. If most patients already message the clinic, a queue tied to that same channel saves a second step at the desk.
When should you stay with what you have?
Stay with a paper or display-board system if your daily OPD count is low and your front desk already manages the flow without delay. Changing systems only helps once the current one causes a visible problem: patients leaving, repeated questions, or a desk that cannot keep up.
If you want to see how a WhatsApp-linked queue works on a real OPD desk, MediFlow's hospital management system page shows the booking, registration and billing flow together, and our MediFlow work page has the Gift of Sight build. Fordawn will also be at MEDICCON EXPO 2026 in Coimbatore from 20 to 22 November, if you want to see it in person.
One last thing
Pick the option that matches today's footfall and today's booking method, not the one with the most features. If your clinic already books on WhatsApp, ask for a demo of the linked queue before building a parallel display board.
Questions
What is OPD queue management software?
It is the system that orders outpatient department (OPD) patients and shows that order to the waiting room, from a paper token to a WhatsApp-linked queue.
Is a paper token system enough for a small clinic?
Yes, for a single doctor with low daily footfall and one front-desk assistant, a paper token is usually enough.
What is a token system for clinic reception at minimum?
At minimum it is a numbered slip handed to each patient on arrival, called in order by a receptionist or a board.
Does a display board need internet access?
It depends on the setup; most display boards run from a desktop at reception and do not need a public connection.
Can a WhatsApp-linked queue work without WhatsApp booking?
No, it depends on the clinic already taking bookings on WhatsApp; walk-ins still register at the front desk for a token.
Does MediFlow's OPD queue rank patients by their condition?
No. MediFlow orders patients by arrival and booking time only. It does not judge a patient's condition, work out doses or set clinical priority.
How long does it take to try a WhatsApp-linked queue?
Hospitals can try the MediFlow WhatsApp demo for fourteen days on their own hospital number before deciding.
